The top ten tips for tender writing

Writing a tender proposal for new business takes time and resources. Here are the ten top tips to help grow your business by winning more tender contracts.

1.    Read all the documentation carefully

Make sure you carefully read all of the Invitation to Tender documentation.  It may include contract notice; pricing schedule; specification; and instructions on how the tender proposal is to be completed.

2.    Ensure you meet all the requirements to tender

This will detail any insurance requirements, requirements of minimum turnover and all memberships of professional or trade certificates and qualifications required.

3.    Understand the selection criteria of the tender

Make sure you fully understand the tender scoring process. This will usually be split into price and quality. The quality is generally considered alongside price.  Ask using the Q&A function, if you are unclear how the tender will be scored.

4.    Ensure you understand all tender requirements

It is essential you are confident you can deliver on the specification of the goods or services to be delivered. If you do not understand what is being specified, then ask. Use the Q&A facility to ask questions.

5.    Assume the evaluator knows nothing about you and your business

The tender evaluator can only assess you on your tender responses.

6.    Be realistic in your tender responses

It is important that you can fulfill all the requirements of the contract.  If you are awarded the contract and then you cannot deliver, it can damage your business long term.

7.    Include and make reference to relevant examples

Include examples of how you already do what you are tendering for and demonstrate your ability. It is a key aspect that your tender proposal may be scored on.

8.    Only include the requested information

You should not include promotional literature.  Do not include brochures, leaflets, hyperlinks, etc., unless you are required to.

9.    Ask someone to check your tender response

Tender writing will take a significant amount of time. It is vital that someone who is not involved in the tender process to check that your responses make sense. They can also ensure that you have answered all the questions asked.

10. Do not miss the submission deadline for the tender

Ensure you are very clear what and when the submission deadline is. The deadline will be clearly stated on the contract notice and tender documents. You will not be able to submit your tender response after the deadline, so make sure you know exactly when that is. It is strongly recommended that you submit your tender response ‘in good time’.  Recommendations suggest anywhere from 72 hours prior to the tender deadline to 24 hours.
